Submitting a NACO Proposal
For TUL staff who are not NACO trained, use this form to submit a suggested new or updated name heading:
Tracking Spreadsheets
- NACO Proposals (Responses) - this spreadsheet is populated by submissions from the above Google form
- Possible Authority Headings - this spreadsheet has been used primarily by Carla and Aslaku
- SCRC Authorities Tracker - this spreadsheet was created by Katy and Leanne and is used by SCRC staff to request headings
- Authorities work tracker - originally was Leanne's personal tracking sheet; feel free to add a tab or copy and reuse
NACO Policies
- There are no restrictions on entity descriptions that can be created, as long as they are entities we have been trained to describe.
- We prioritize entities of local/regional importance, including Temple-affiliated names and those with a connection to the Philadelphia area.
- We create name headings as needed for all access points in our eCIP cataloging for TU Press.
- Name headings may be identified as part of original cataloging, but we are not required to create headings for all access points (we are not BIBCO members).
- We generally do not create name headings as part of a general copy cataloging workflow, but we may identify significant entities in copy cataloging, per cataloger's judgment.
- Name headings should be based on a work cataloged (in hand or online), but it does not necessarily have to be something from Temple's catalog or a corresponding MARC bibliographic record (for example, authority records could be created for names in digital collections or exhibits).
- If an existing authority record is updated (for example, to add a death date), we are required to upgrade the record to RDA, but only core elements are required.
- Although it has not been formally implemented by PCC, we follow the recommendations in the Report of the PCC Ad Hoc Task Group on Gender in Name Authority Records.
- We follow all PCC policies and guidelines that apply to NACO members.
NACO Workflow
- Create heading in OCLC Connexion - it doesn't matter which OCLC login you use, as long as it is associated with the TEU symbol. Logins can be found here on the MADS Team Drive (access restricted).
- Save heading to the Online Save File (it is also a good idea to keep your own copy in your Local Save File, in case anything goes wrong with the online save file, and also to keep your own personal statistics)
- Contact Holly to let her know you have records for review
- Once records are approved, Holly or anyone who has passed the NACO review period can submit to LCNAF:
- In OCLC Connexion, log in with NACO login
- Use Action: Add to Authority File or Action: Replace
- Records will be "In distribution" for several days - during this time they cannot be further edited or replaced. They will be available in OCLC but will not show in LC Authorities (or Alma) until distribution is complete. VIAF is updated by LCNAF every 4-6 weeks.
NACO Statistics
- Beginning in October 2018 with the start of the federal 2018-19 fiscal year, NACO contributors need to submit our own statistics to the PCC Directory.
- Our PCC Directory login information & instructions can be found in the MADS Team Drive
- Compiled statistics are posted to the PCC website
